You are constantly made aware of both the level and value of orders being placed allowing you to reign in spending to avoid exceeding budget and allow for buying trends to be noted.

View your Backorders
Backorders are an inevitable consequence in our industry caused by the incredible number of products made available for purchase. Whilst our supply chain partners allow us to offer next day service on in excess of 98% of product ordered, there are always occasions when a product or products you have ordered will not be available next day.
With Openbox you can view the status of your back orders at the point of order. This allows you to be aware of any potential problems as they happen rather than finding out on the day that you need them. On back orders which may have a protracted delivery date you can view the status of these products and place a chase or update on any product at the click of a button.
View your scheduled deliveries
Any deliveries due out to you can be viewed within the delivery schedule screen. This simply details all of the products which are on their way to you. You can see what is coming and who it is coming for.
Copy delivery notes can be viewed and printed and once a delivery has been made you can also obtain a copy of the signature and time of delivery.
We also allow you to view goods in transit and those that are currently being picked and packed at our warehouse so the entire process is visible.
Shortages and faulty goods can be reported and tracked to return using the system. This avoids the need for phone calls and chasing making an all together much more efficient offering.
View orders placed
As Openbox gives you access to live data, as soon as somebody within your organisation places an order with us it becomes visible on the system. This allows you to have at all times an accurate picture of that day’s orders.
In addition to being able to view the orders placed that day, you can also view orders placed for the current month or for the entire calendar year. You can also view the orders which were placed in the previous year. This coupled with the fact that you can produce a copy purchase order for any order placed means that an audit of purchases becomes both simple and accurate.
You can as with all the information screens within Openbox, sort on any column of visible data. High order values become instantly identifiable and by simply clicking on the order header, the order detail becomes visible. Rogue or Capital purchases are easily spotted and action can be taken before the time consuming process of returns, credits and sometimes unworkable controls are put in place.
View orders by delivery address
We understand that whilst cost centres can be vital to controlling and budgeting expenditure, it is often the case that a single cost centre may cover multiple delivery locations. You now have the ability to analyse your purchases not only by cost centre but by delivery location.
All addresses which are live within our system for your company are immediately visible and by simply selecting one of the available addresses, you can view all orders placed against that address for the current day as well as being able to extend that time frame to the current month, year to date and previous year.
Once a delivery address is selected a list of orders raised against that address will be shown and by further clicking against an order you will be able to see the order line detail.
It now becomes a simple and quick process to monitor consumption by order point and requires no additional information from us.
View Stock Held in Call – Off
In some instances we may hold quantities of stock on your behalf. This may range from bespoke printed matter through to paper and IT consumables.
You can now see at glance just how much of any held stock line we are holding in stock for you. The call off’s against these products are also displayed allowing you to monitor usage and re-align Reorder levels and quantities should demand change.
We can even set alerts in the system to notify you when a product goes below a specified quantity giving you complete confidence that stock replenishment will happen as and when it is needed without ever running out.
With the business eye being firmly placed upon the running costs, it is in most instances a pre-requisite that there will be some level of Cost Centre Management Reporting requirement.
Whilst we are able to supply cost centre reporting to you in both hard and soft copy, we recognise that there is often a requirement to report by exception rather than as a whole. With the Openbox you are able to view management reports but unlike hard copy reports it is quick and easy to identify and drill down on exceptional items.
You are instantly presented with a company summary which will display the company results as a whole. This will be broken down into cost centre and also into product category as well as showing the spend against individual products. By selecting any of the displayed cost centres you will be able to view the spend within all product categories for the selected cost centre along with the products ordered by that cost centre.
Using the Information Centre you can view all Key Performance Indicators relevant to the servicing of your account. Various indicators such as:
Along with many more can be viewed from within the Information Centre. This has been designed to allow the user to see at a glance just where they at in the current trading month as well as viewing previous months data for comparison.
